Job Description
JOB SUMMARY:
An Administrative Assistant at Life Solutions South plays a vital role in supporting the agency’s daily operations and ensuring the smooth delivery of behavioral health services. This position requires strong organizational and communication skills, a high level of professionalism, and the ability to manage administrative duties with accuracy and confidentiality.
The Administrative Assistant performs tasks such as scheduling, document management, client communication, and providing administrative support to staff and leadership.
The Administrative Assistant reports directly to the Program Manager, with general oversight by upper management.
TERMS OF EMPLOYMENT:
- Hourly Compensation: $22.00 per hour
- Hours: Full-time (35 hours per week; 9-5 M-F)
- Work Location: On-site at Life Solutions South - Akron (1557 Vernon Odom Blvd, Akron, OH 44320)
RESPONSIBILITIES:
Administrative activities include, but are not limited to, the following:
(a) Managing appointment scheduling and calendar coordination for staff and clients;
(b) Maintaining client communication through phone, email, or in-person interactions with professionalism and discretion;
(c) Organizing and maintaining documentation and filing systems in accordance with agency standards and HIPAA compliance;
(d) Supporting the administrative needs of behavioral health programs and other organizational functions.
Administrative Services
- Provide high-quality customer service as the first point of contact for clients and visitors.
- Maintain confidentiality and professionalism in all communications and interactions.
- Manage daily administrative operations including scheduling, data entry, and document preparation.
- Support program staff and leadership by completing assigned administrative duties accurately and on time.
- Assist with billing-related administrative tasks as assigned.
- Support the development and maintenance of organized office systems and procedures.
ESSENTIAL FUNCTIONS:
- Work is performed on-site at Life Solutions South’s designated office location.
- Virtual or remote work is not permitted unless pre-approved by upper management.
- Maintain a consistent and professional work schedule not exceeding 35 hours per week unless otherwise approved.
- Requires proficiency with computer systems and applications including Microsoft Office, Google Workspace, and electronic scheduling systems.
- Maintain a high standard of organization, confidentiality, and customer service.
- Attend agency meetings and training as required.
- Complete and submit documentation, logs, and reports within designated timeframes.
COMPLEXITY OF WORK:
- Requires multitasking, critical thinking, and the ability to manage time independently.
- Must be detail-oriented, flexible, and capable of handling a fast-paced environment.
- Ability to communicate effectively and maintain professionalism with diverse client populations and staff.
EDUCATION, TRAINING, AND / OR EXPERIENCE:
- Minimum 18 years or older.
- High school diploma or equivalent required; college-level coursework or experience in office administration preferred.
- Experience in behavioral health, healthcare, or a related field is a plus.
- Valid Driver’s License or State Identification required.
- CPR/First Aid certification required (or must obtain within 90 days of hire).
