Departmental Office Assistant

Federal Work-Study Student Position

This position is exclusively for students participating in the Federal Work-Study Program with an approved Federal Work-Study award.

Position Purpose

The purpose of this position is to provide administrative and operational support to the Department of Physiology & Biophysics and the Office of the Department Chair. The student will assist with routine office activities, organization, faculty support, and other departmental needs while developing professional administrative skills.

Essential Functions

  • Greet and assist visitors professionally and courteously.
  • Organize supply closets and maintain an inventory of office supplies.
  • Prepare lists of supplies needed for coffee and other Faculty Lounge items; replenish coffee, refreshments, and related supplies as needed.
  • Replenish paper and other basic supplies for the Xerox machine and office printers.
  • Assist with basic computer and equipment setup for laboratories, Small Group Learning (SGL) sessions, and Physiology classes.
  • Assist with organizing and maintaining office areas as needed.
  • Assist with moving light office furniture and preparing office spaces for new faculty members, as needed.
  • Provide administrative assistance and support to faculty members as requested.
  • Collect, sort, and distribute incoming and outgoing mail.
  • Scan, organize, and electronically distribute documents.
  • Perform filing and basic document organization.
  • Assist with special projects and other administrative duties as assigned.

  • Basic knowledge of operating a Xerox machine and office equipment; training will be provided.
  • Basic computer skills and willingness to learn new office systems and procedures.
  • Ability to maintain confidentiality and handle departmental information appropriately.
