Administrative Assistant - COM/OFD-JEDI (FWS)

The Administrative Assistant at the Howard University College of Medicine’s Office of Faculty Development and Justice, Equity, Diversity, and Inclusion (OFD-JEDI) plays a key role in supporting faculty, staff, and students by ensuring smooth and efficient office operations. This position provides direct assistance to faculty and staff by greeting them, answering inquiries, and providing help with a variety of office needs, including media and publications support. The Administrative Assistant works closely with the Director of the department and other staff to carry out necessary tasks and ensures that all day-to-day administrative functions are completed in a timely and professional manner. The ideal candidate will be proactive, detail-oriented, and able to handle various responsibilities in a fast-paced environment.

Key Responsibilities

  • Supporting the Director: Collaborate closely with the Director of the department to manage daily operations and assist with tasks such as preparing reports, maintaining records, and handling correspondence.
  • General Office Support: Perform a variety of administrative duties including filing, organizing documents, data entry, managing office supplies, and assisting with any other office-related needs.
  • Greeting Faculty and Staff: Serve as the first point of contact for faculty and staff in the department. Greet visitors, provide information, respond to inquiries regarding policies and general information, and direct them to the appropriate office or department as needed.
  • Communications Support:      Assist with social media accounts, monthly newsletter, updates on Website, and Intranet maintenance. 
  • Additional Responsibilities: Assist with special projects, coordinate events or meetings, and undertake any other administrative tasks as requested by faculty, staff, or the Director.

Qualifications and Skills

  • Strong interpersonal skills and the ability to communicate effectively with a diverse group of individuals.
  • Knowledge of website maintenance, social media management, newsletter production, and strong written and verbal communications skills are a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Ability to manage multiple tasks simultaneously and prioritize responsibilities.
  • Strong attention to detail and problem-solving abilities.
  • A positive, proactive attitude and the ability to work independently and as part of a team.
